I have a pay as you go Iphone 4. what do I need to do to use it in Japan. I am a bit of a luddite so please keep it simple.

Make sure any roaming bars are set to off in your online my Vodafone.
My suggestion is to unlock your phone to all networks too just incase something happens where your Vodafone SIM won't connect. At least you could use a local sim card then.

With call charges at 50p per minute to make a call, you are going to need a fair amount of credit.
When you make your roaming connection, choose Softbank. Japan voice only works over 3G and this means turning off 2G and selecting 3G but you should have 4G data roaming. If you are not going to need 4G for data, select 3G only on your mobile network settings.
